NAVAIR provides better check-out process for employees
Personnel transferring into or out of the Naval Air Systems Command now use a less time-consuming process.
"We cut the check out process time from a full day to just a few hours," said Nancy Gray, a Total Force Consultant with the AIRSpeed team that worked on the project.
"In the old process, an employee had a hard copy list of stops to make before leaving the command," Gray explained. "What we discovered in analyzing the check-out process was that very few offices needed the employee to visit in person."
She added, "A lot of stops in the old process were irrelevant or the location was outdated. The employee and the supervisor had no way of knowing what needed to be done first or second or what needed to be done in person."
Employees leaving the command receive a form by email with instructions. The new form lists all the necessary offices, points of contact and telephone numbers in the appropriate check-out order.
The new form also indicates whether the employee can call on the phone to check out or must physically visit the office. If the office requires a physical visit, the email instructions provide directions to the office.
"Now a personnel assistant notifies all the appropriate offices with a single email when an employee is resigning or transferring, and the employee can call to confirm that he or she has taken specific actions," Gray said.
"We’ve even changed our exit questionnaire so it’s much shorter and can be taken online before the person leaves his or her desk," she added.
The Total Force Strategy and Management Department is the employee’s last stop. The employee turns in the form, and a personnel assistant makes sure all appropriate check-out stops are complete, and that person has turned in their badge.
"The feedback we’ve received shows that we’ve cut frustration out of the process," she said. "Other commands can benefit from what we learned in this AIRSpeed project."
