TPTK leverages “how to” across command
By NAVAIR Focus Group Executive Secretariat
Whether you are an engineer in an intern program or a veteran logistician filling an unfamiliar void left by a recently retired colleague, the answer to the question you are researching may be located in the Team Process Toolkit (TPTK), which can be found at https://teamprocess.navair.navy.mil.
TPTK is a self-contained tool for developing, approving, storing, retrieving and retiring technical processes in a user-friendly environment that is available NAVAIR-wide. NAVAIR Note 5215 gives processes the same guidance authority in NAVAIR as instructions, and states that only processes accessible on TPTK are officially approved.
“TPTK is the only tool available to the NAVAIR team to use for those who don't want to re-invent processes already invented and documented by someone else,” said Tom Laux, Process Focus Group (PrFG) co-leader and program executive officer for Air Anti-submarine Warfare, Assault and Special Mission programs. “Do your co-workers a favor and document your processes--there's a great chance that somebody, somewhere could benefit from the lessons you have already learned.”
“You’re only two clicks away from TPTK”, said Alicia Gutierrez, National Process Focus Group (NPrFG) TPTK Program Manager.
In the past NAVAIR has developed many toolkits for numerous functions, but TPTK encompasses an easier path to finding the answers needed by anyone on the team. The toolkit is an electronic support system available on a user’s desktop from a self-access basis. The web-based system is accessible by anyone with a NAVAIR email account and is literally two clicks away by linking to Wingspan. To access the tool, link to http://wingspan.navair.navy.mil/, and then click on the corporate systems link. From the corporate systems Web page, a link to TPTK is located under the “applications” heading.
By documenting processes, TPTK enables NAVAIR’s goal of becoming a process-centered organization where employees will have the opportunity to share and retrieve processes across competencies and also streamline their processes with others. NAVAIR is creating efficiency and saving manpower by linking the competencies and NAVAIR sites to a sole process repository. TPTK enables users to come quickly up to speed on job-related tasks or processes with its centrally located documents on one web site.
“By sharing and entering your processes into TPTK, your co-workers are given the best way to take advantage of your experiences,” said Laux.
With options in TPTK such as a keyword search, users can go directly to the process they need. Training and online guidance will also assist users with more efficient use of the toolkit. The only requirements to use TPTK are a web browser and Adobe Acrobat to open files. Users also have the option to upload flow charts, text and other documents.
The PrFG developed a TPTK roadmap to make the tool user friendly for NAVAIR. Processes are first nominated by an organization or competency for inclusion in the toolkit. Once coordinated and officially approved by a Competency Level II approval authority, the process is documented, uploaded and then accessible through searching and retrieving options within the TPTK toolkit. The processes are available for future use throughout NAVAIR and can be modified or retired in the process archive.
"To provide additional security through encryption, and to comply with Department of Defense mandates, everyone using TPTK should reference the link https://teamprocess.navair.navy.mil,” said Karen Yates, IMD Document Management/Workflow Lead, and TPTK Technical Lead. “When users visit the old less secure URL, the site will redirect the user to the new secure web page.“
